What is IVR?

IVR (Interactive Voice Response) is an automated phone menu that greets callers and routes them by key press or speech — for example “press 1 for buying, 2 for renting” — before connecting them to the right team or taking a message.

Also known as Interactive Voice Response

Builders and larger brokerages use an IVR on the number printed on hoardings, ads and project sites. A short menu can route by project, language or buy/rent, play the office hours after closing, and send missed calls to a callback list. Every option should end with a person or a callback; a menu that loops is worse than none.

Keep it short: two or three options, one level deep, with the most common choice first. Many teams add a missed-call number instead — the buyer gives a missed call and receives a callback — which avoids the menu entirely and works well for print and outdoor campaigns.

Example

A two-option menu for a Kolkata builder (illustrative)

A Kolkata builder runs one number on hoardings for two projects. The IVR says: “For New Town project press 1, for Rajarhat press 2.” Calls outside 10 am–7 pm get a message and go to a callback list for the next morning. Each option rings a different pre-sales group, and the call log shows which project draws more calls.

Figures are illustrative, not market rates.

Questions about IVR

Does a small brokerage need an IVR?

Usually not. With a few agents, a direct number or a simple ring group answers faster. An IVR helps when one number serves several projects, languages or teams, or when calls arrive outside office hours and need a recorded message and a callback list.

What is a missed-call number?

A number the buyer calls and that disconnects after one ring at no cost to them; the system records the caller and the business calls back. It is popular on hoardings and print ads because it is easy to remember and the callback can be routed to a telecaller.
