Marketing and WhatsApp

What is WhatsApp CRM?

A WhatsApp CRM is a CRM that sends and receives WhatsApp messages inside each lead’s record — usually through the official WhatsApp Business Platform — so the whole team shares one inbox, uses approved templates and keeps chat history with the lead.

Indian property buyers often prefer WhatsApp to calls or email: they ask for photos, floor plans, location pins and prices there. When agents use their personal WhatsApp, those chats leave with the agent and nobody else can see what was promised. A WhatsApp CRM puts the conversation on the company’s number, assigned to an agent, visible to the manager, and linked to the lead’s calls and visits.

Doing it officially means the WhatsApp Business Platform (often called the API): a verified business number, message templates approved by Meta for anything sent outside the 24-hour service window, opt-in from the customer, and per-message charges by category. Tools that automate a personal or WhatsApp Business app number go against WhatsApp’s terms and put the number at risk of being banned.

Example

A shared inbox in practice (illustrative)

A Thane rental desk with 5 agents puts its number on all listings. A tenant messages at 10 pm about a 2 BHK in Ghodbunder Road; the chat is assigned to the agent who owns that listing. Next morning he replies with photos inside the 24-hour window. When he goes on leave, a colleague picks up the same chat with the full history.

Questions about WhatsApp CRM

Can I use WhatsApp Business app as a CRM?

The WhatsApp Business app has labels and quick replies, but it runs on one phone (plus a few linked devices), has no lead records, no assignment rules and no reports. For a team, the official Business Platform connected to a CRM is the supported way to share one number.

Is WhatsApp marketing allowed in India?

WhatsApp messages are not governed by TRAI’s TCCCPR, but Meta’s Business Messaging Policy requires opt-in, approved templates outside the 24-hour window and respecting blocks and opt-outs. Personal data handling also falls under the DPDP Act.
