Why marketing belongs on the official platform
The WhatsApp Business app and personal numbers are built for one-to-one chats. Sending the same offer to hundreds of contacts from them, or through tools that automate WhatsApp Web, breaks WhatsApp’s terms and is a common reason numbers get banned — taking every buyer conversation on that number with it.
The WhatsApp Business Platform is Meta’s official route for messaging at scale, through approved templates and an account you own. Our guide to the WhatsApp Business API for real estate covers account setup and costs; this one covers the marketing practice.
Opt-in before the first template
Meta requires that people opt in to receive messages from your business on WhatsApp before you message them first. The opt-in must make clear that they will get messages from your business on WhatsApp. Good places to collect it in real estate:
- A checkbox on your website or landing-page enquiry form naming WhatsApp.
- A question in your Meta lead form, with WhatsApp named in the consent text.
- The buyer messaging you first, for example from a click-to-WhatsApp ad or a QR code at the site office.
- A verbal yes on a call, recorded on the lead with date and agent.
Template categories and what goes in each
Messages that start a conversation outside the service window must use a pre-approved template. Meta sorts templates into three categories, and pricing is per message by category.
| Category | Meant for | Real estate example |
|---|---|---|
| Marketing | Promotions, offers, launches, re-engagement | New 3 BHK launch in Baner with a site-visit invite |
| Utility | Updates on something the person started | Site visit confirmed for Saturday 11 am, with location |
| Authentication | One-time passcodes | OTP to verify a site visit |
The 24-hour customer service window
When a buyer messages you, a 24-hour customer service window opens. Inside it you can reply with any message — text, photos, brochures, location pins — without a template. Each new message from the buyer restarts the window. Once it closes, only templates can reopen the conversation.
Answer inside the window wherever you can. A buyer who asked about a 2 BHK at 9 pm and gets a brochure and floor plan by 9:05 pm is in a conversation; one who gets a template two days later is receiving marketing.
Click-to-WhatsApp ads
Click-to-WhatsApp ads on Facebook and Instagram open a chat with your business number instead of a form. The buyer sends the first message, so the service window is open from the start and you can qualify them in conversation. Meta’s pricing documentation describes extra free messaging when a conversation starts from such an ad and you reply in time; check the current terms on Meta’s pricing page.
Prepare the first replies before the ad goes live: a greeting that names the project, two qualifying questions, and the brochure.
Broadcast hygiene and your quality rating
Meta gives each business phone number a quality rating based on how people respond to your messages, including blocks and reports. Numbers also have messaging limits on how many people you can start conversations with in a rolling 24-hour period, and Meta’s documentation ties moving to a higher limit to keeping quality up. A careless broadcast can hold a growing team back.
- Send to segments — budget, BHK, locality — not the whole list.
- Cap how often one buyer gets marketing templates, for example one a week.
- Make opting out easy and honour it on every channel at once.
- Remove numbers that never read your messages.
What not to do
Do not send bulk messages from agents’ personal numbers, do not use tools that automate WhatsApp Web or a phone, and do not buy contact lists. Each risks a ban and none gives you the opt-in Meta and the DPDP Act expect. Do not label a promotion as a utility template to save cost; Meta reviews categories and can change them.
In PropZolo, templates sync with Meta, the inbox shows the 24-hour window on each chat, and broadcasts respect opt-outs recorded in the consent ledger.
Questions
Can I send property offers on WhatsApp to buyers who enquired on a portal?
Only if they opted in to WhatsApp messages from your business. A portal enquiry alone does not meet Meta’s opt-in requirement for business-initiated messages. Ask for WhatsApp consent on the first call or in your enquiry form, record it on the lead, then send approved marketing templates.
What is the difference between marketing and utility templates?
Utility templates update a person about something they already started, such as a confirmed site visit or a payment receipt. Marketing templates promote something: a launch, an offer, a price drop. Meta reviews the category, prices them differently and may recategorise a template that promotes while claiming to be utility.
Why did my WhatsApp quality rating drop?
Usually because people blocked or reported your messages — often after a broadcast to a large list that did not expect it. Pause marketing templates, send only to recent opted-in segments, and make opting out easy. Meta’s documentation links quality to the messaging limits your number can reach.
Is it safe to use bulk WhatsApp sender tools from a normal number?
No. Tools that automate a normal WhatsApp account or WhatsApp Web break WhatsApp’s terms, and numbers that send bulk messages this way are commonly banned. You lose the number and its chat history. Use the official WhatsApp Business Platform with approved templates and opted-in contacts.
