In a real estate office lead management covers five steps: capture (portal, ad, website, walk-in, referral), de-duplication (the same buyer often enquires on three portals), assignment (round robin, by locality or project, or to the agent who already owns the contact), follow-up (calls, WhatsApp, visits) and closure (booked, lost with a reason, or parked for later).
The weak point in most teams is the hand-off. A lead that sits unassigned for two hours, or with an agent on leave, often ends up with whichever broker called first. Clear rules, a response-time target and a visible next follow-up date on every lead fix most of that.
Good lead management also keeps the evidence of the enquiry itself, which matters in India because TRAI allows enquiry-based promotional calls and SMS only for seven days after the enquiry.
Example
A channel-partner team in Gurugram (illustrative)
A channel partner selling three projects in Gurugram receives a Meta lead at 9:40 pm (illustrative). The rule assigns project A leads to two agents in turn, so it goes to the agent next in line with a first-call target of 15 minutes. He calls, logs “interested, wants 3 BHK under ₹2.5 Cr”, sets a follow-up for 11 am and books a visit for Saturday. The manager sees all of this on the lead without asking anyone.
Figures are illustrative, not market rates.
Questions about Lead management
What is the difference between lead management and lead generation?
Lead generation produces enquiries — portal listings, ads, referrals, events. Lead management is what happens after an enquiry exists: assignment, follow-up, qualification and closure. A team can spend heavily on generation and still lose most of it if management is weak, which is why the two are measured separately.
Can I manage leads in Excel?
For a handful of leads a week, yes. The limits show when several people edit the sheet, leads arrive at night, or you need to know who called whom and when. A sheet cannot assign automatically, remind an agent, or record calls and WhatsApp messages against the lead.
