What is a real estate CRM? Meaning, features and how to choose one

A real estate CRM is software that keeps every enquiry, client, property and deal of a brokerage or builder in one place, and tells the team who to call next. CRM stands for customer relationship management. In India it also has to capture portal leads, log calls from Android phones, run WhatsApp follow-ups and respect TRAI and DPDP rules.

What does CRM mean in real estate?

The full form of CRM is customer relationship management. In real estate the “customer” is anyone on either side of a transaction: a buyer or tenant looking for a home, an owner or landlord who wants to sell or let out, an investor, or a channel partner bringing clients to a project.

A real estate CRM records each of these people once, by phone number, and attaches everything that happens to them: the enquiry from 99acres, the first call, the WhatsApp messages, the requirement (2 BHK, Baner, up to ₹95 L), the shortlist, the site visit and the deal. Anyone on the team can open the record and see where things stand without asking around.

How is it different from a spreadsheet or a generic CRM?

A spreadsheet stores rows; it does not remind anyone to call, cannot tell you which portal lead was never touched and loses history when someone overwrites a cell. A generic CRM fixes the reminders but is built around companies and sales deals, not flats, plots and site visits.

A real estate CRM models the things a brokerage actually sells and rents, and the steps it actually takes:

  • Properties and projects with BHK, carpet / built-up / super built-up area, floor, facing and price in lakh or crore.
  • Requirements that can be matched against inventory.
  • Site visits with date, time, executive and outcome.
  • Deals, bookings, token amounts and brokerage or commission.
  • Channel partners and the clients they register for a project.

Which features does a real estate CRM need?

The core set, roughly in the order an enquiry meets them:

Core real estate CRM features and what each one does
FeatureWhat it doesWhy it matters in India
Lead capturePulls enquiries from portals, ad forms, the website and WhatsApp into one queueMost brokers buy leads on several portals at once
Lead distributionAssigns each lead by round robin or rules, with a response deadlineThe same buyer enquires with several brokers; the first relevant call matters
Call trackingLogs calls made from the team’s phones with duration and outcomeMost calling happens on Android work SIMs, not desk phones
WhatsApp inboxShared inbox and approved templates on the WhatsApp Business APIBuyers expect photos, locations and brochures on WhatsApp
Inventory and matchingListings and projects matched to requirementsUnits differ by region: sq ft, gaj, bigha, guntha
Site visitsScheduling, reminders and proof that the visit happenedVisits decide commissions, especially in channel-partner sales
Deals and bookingsToken, agreement, payments and commission trackingMoney in ₹ with lakh / crore formatting and GST invoices
ReportsSource-wise leads, calls, visits and conversions per personShows which portal or campaign pays for itself

What are the benefits for a brokerage?

The benefits come from three habits a CRM enforces, not from the software itself.

First, no lead is lost: every enquiry has an owner and a next follow-up date, and a manager can see the ones nobody has called. Second, the history stays with the company: when an executive leaves, the clients, notes and call history stay. Third, decisions use numbers instead of impressions: you can compare portals by visits and deals, not by the volume of leads they send.

For a builder or channel partner the extra benefit is clean attribution — who brought the buyer, who did the visit and who is owed the commission.

How to choose a real estate CRM: a checklist for Indian teams

Ask every vendor to show these on a live account with your own sample leads, not on slides.

  1. Portal integrations: which Indian portals are connected directly, which by email parsing, and what happens when a portal stops sending.
  2. Meta and Google lead forms: per-form field mapping, and whether missed leads are reconciled.
  3. Android call tracking: does it log calls from existing work SIMs automatically, or do callers type outcomes by hand?
  4. WhatsApp: is it the official WhatsApp Business API with approved templates and a shared inbox?
  5. TRAI compliance: does it keep enquiry evidence and stop promotional SMS and calls after the 7-day enquiry window unless consent is registered? Does it handle DND and DLT templates?
  6. DPDP Act: consent records, purpose, access by role, masking of phone numbers and a way to act on deletion requests.
  7. Indian units and money: lakh / crore, sq ft and local units, carpet versus super built-up area, GST and TDS.
  8. Pricing: per user per month in rupees, what each plan includes, and what is charged on top (messages, AI usage).
  9. Data export: can you export your leads, contacts and history, and who in your team is allowed to?
  10. Mobile app: can field staff log visits and calls on Android without a laptop?

Who needs a real estate CRM?

A single agent handling a handful of enquiries a week can manage with a phone and a notebook. The case for a CRM starts when leads come from more than one source, more than one person calls them, or a manager needs to know what happened without asking.

That covers most resale and rental brokerages, channel partners selling new projects, builders’ pre-sales and sales teams, and property managers handling rent and renewals.

Questions

What is the full form of CRM in real estate?

CRM stands for customer relationship management. In real estate it means software that records every buyer, tenant, owner and channel partner once, with their enquiries, calls, messages, site visits and deals, so the whole team works from the same history and nobody’s follow-up is forgotten.

Is a real estate CRM only for large builders?

No. Builders use it for pre-sales, bookings and channel partners, but a resale or rental brokerage with two or three people calling portal leads gains the most from it. The tipping point is several lead sources or several callers, not company size.

Can I use a generic CRM for real estate?

You can, but you will have to build property inventory, requirements, matching, site visits, area units and commission tracking yourself. Indian portal integrations, Android call logging and TRAI enquiry-window checks are rarely available out of the box in generic tools.

What should a real estate CRM cost?

Most are priced per user per month. Compare what each plan includes rather than the headline price: portal integrations, WhatsApp messaging costs, AI usage limits, the mobile app and data export. Ask whether calling and messaging charges are billed separately from the subscription.

How long does it take to start using a CRM?

Connecting portals and importing existing leads from Excel usually comes first, then lead assignment rules and the calling app on each phone. The harder part is the habit: every call and visit logged in the CRM. Start with one source and one team, then widen.
